Access College Data from Personal Windows Device
Introduction
To ensure accessing College data and services from personal devices is secure we only allow web app access College data and services through Microsoft Edge using a Work Profile. This ensure's secure access and that your device meets minimum security requirements.
You will not be permitted access through Microsoft Edge unless your device meets the following:
- Running a supported version of Windows 10 or 11
- Running an Anti-Malware product such as Microsoft Defender. You should have no warnings in the Windows Security Centre.
As well as the above you should ensure your device has a pin or password to unlock. If you share your device with family, you should utilise separate user profiles to protect College data from unauthorised access.
When accessing College data and Services through Microsoft Edge you will be restricted from downloading any data to your personal device, you should utilise the Online web apps versions of Office and Microsoft OneDrive to ensure data confidentiality.
Accessing College Services from your Personal Device
- To access College services from your personal windows Device you will first need to download Edge and sign in to a work profile using your college credentials (See Instructions below On how to Sign in to an Edge Profile).
- On your first sign in a prompt will appear you MUST untick the check box Allow my organisation to manage my device and click ok.
If you mistakenly ticked allow my organisation to manage my device your Microsoft Edge Work Profile will fail to enrol and you won't be able to access College data or services. Please see the troubleshooting guide below.
- You can now access College services.
Please note: If you were to sign in to a desktop app on your personal windows device or on any browser other than edge while signed in to your work profile you will be met with the bellow message.
Signing In to an Edge Browser Profile:
As mentioned above in order to access corporate data / office applications you will need to access while being signed in to your College Edge Profile.
1. Open Edge and click on the person icon in the top left-hand corner.
2. Then Click on other profiles > “set up new work profile”.
3. A new tab should then open in edge requesting you to sign in to your account, please use your college email and password to sign in and follow the usual prompts that appear for password and Multifactor Authentication.
4. You should now be signed in to your edge profile, however there are times where you may need to ensure the data is synced, this can be done by:

Under choose account select your account and then click sign in to sync data.
once completed you should see your account signed in with a green tick stating, “Sync is on”.
Troubleshooting:
Issue:
I'm being asked to switch to my work profile but I'm already signed into a work profile.
Solution:
This normally happens if you have mistakenly ticket the box Allow my organisation to manage my device. To resolve, remove the Work Profile from Edge and re-add it, this time ensuring the tick box is unticked.
Issue:
This guide outlines the procedure to rectify an issue where you are prompted to sign in with your work Edge profile, despite being already signed in.
The issue is likely due to an outdated account linked to Windows or the checkbox remaining enabled when registering your personal device with EEG.
Please note, some steps may not be applicable if certain options are not available to you. In such cases, proceed to the subsequent step.
Solution:

Open Edge: Click on the profile icon located in the top left-hand corner.

Access Profile Settings: Ensure you’re on your work Edge profile, then click the cog wheel to access settings.

Delete Edge Profile: Select the Bin icon and click ‘Remove Profile’.

Access Windows Settings: Navigate to ‘Settings > Accounts’ on your Windows device.

Access Work or School Settings: In the accounts section, go to ‘Access Work or School’.

Disconnect Work Account: Select your work account and click ‘Disconnect’. Please note, it may take a few minutes for the account to be removed.

Restart Your Computer: Once the account has been removed, restart your computer.

Sign Back In: After restarting, sign back into your device.

Set Up Work Profile: Repeat the original steps to set up the work profile ensuring that the tick box is unchecked.

Your Privacy:
When using your personal device, the IT Services team do not see your see your private information on your device such as:
- Web browsing history
- Email
- Contacts
- Calendar
- Passwords
- Pictures, including what's in the photos
- Files
When accessing College services from a personal device we do collect a minimal amount of device information which includes:
- Device owner
- Device name
- Operating system and version, such as Windows 10.0.22631.3007
This data is processed to ensure your device is compliant, manage security of the data and services you access and assist the IT helpdesk in troubleshooting any issues.
IT does not have control of your device; however, we do impose restrictions on how you can use and access college data to ensure it is handled safely and securely.
